Inventory Counts Made Easier With Our Innovative Software

It’s That Time of Year Again

The beginning of the year at Case Medical means a complete inventory count so we can see what our stock levels are and plan for the new year. This is an all-hands operation; employees are grouped into teams; and count everything on our shelves including raw materials and final product. It is an opportunity to “reset” and re-organize our inventory so we can start off the new year on the right foot. In the past, this was a torturious operation because everything was counted manually and we did not have a  reliable software like we do today.

Our Software Makes Counting Easy

At Case Medical we develop state-of-the-art, cloud-based ERP software to manage our inventory, our production, and provide a version for healthcare facilities called CaseTrak360. We were able to build it to fit our needs exactly, and we can offer the same to you. Asset management is more than managing inventory, it also means managing operations, maintenance, and much more. Everything is digital, and everything can be tracked and managed with a simple barcode scan. Using scanners and tablets instead of the traditional paper and pen, allows us to utilize every employee  on flexible teams, to count our inventory as quickly as possible to meet our year end goals. Our analytics show us valuations, stock levels, and other critical statistics. We can use the software to organize everything so when production resumes, everything is streamlined, simple, and everyone knows where everything is and how much we have in stock.

Using Paper Feels Like a Lifetime Ago

Before we had our current system, everything was done manually, on paper. Massive spreadsheets were printed out for employees to complete by hand. Paper tags were placed on the inventory shelves for each item to be counted. Data entry was a slow and manual process that was prone to errors and took more than a week to complete. There was no way to organize things in real time. We also didn’t have the host of analytics and tools that we have now, so valuations and other statistics had to be calculated by hand and triple checked for errors. Nevertheless, we can’t believe that so many healthcare facilities still rely on paper for their instrument processing, asset management, and inventory control. When things are manual errors are more likely to occur and nothing is fully known. Errors here could mean HAI’s, delayed procedures, missing instruments, and sanctions from The Joint Commission.

CaseTrak360 Manages Inventory Very Well

Most of you are aquainted with Case Medical's reusable containers and instrument chemistries. We use the concepts we developed for CaseTrak360 on our own inventory, and we are confident it will work great for your facility. CaseTrak360 can track everything in extreme detail, utilizing a 2D barcode that can provide the IFU, history, and contents of a closed container system. With a simple button press and a scan all errors can be reduced and retrieving information becomes effortless when The Joint Commission comes to town. Your department will work better, your staff will work more efficiently, delays will be greatly reduced, and imagine the cost savings and return on investment that can contrinute to the bottom line. You’ll wonder how you ever got by without it; just like us. This year, our inventory took us only two days.
